Protection of personal data

The following information relates to the protection of your personal data. This is the data that allows you to be identified, directly or indirectly, such as your first name, surname, e-mail address and IP address.

Personal data is collected when:

  • You surf on the pages of the Belgian Biodiversity Alliance In your browser, those pages begin with https://biodiversityalliance.beWhen a link takes you to another portal site, a website, an online application or a social network, you must check the terms and conditions for the processing of personal data used by those responsible for those services
  • You contact us
  • fills out surveys we make available online;
  • uses our tools or enters data into them.

You are protected in accordance with:European Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 (entered into force on 25 May 2018) on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (GDPR).

1. LEGAL BASES AND PURPOSES OF THE PROCESSING OPERATIONS

In accordance with the tasks defined by Royal Decree of 23 May 2001 establishing the Federal Public Service Public Health, Food Chain Safety and Environment; personal data is collected and processed with the aim of:

  • Informing you
  • Answering your questions
  • Invite you to participate in surveys or events;

Data is also collected and processed anonymously:

  • For statistical and qualitative purpose, with the aim of improving our services
  • To provide you with an answer in your language

If your request for information or services is intended for another department, we provide you with the particulars of that department and you are free to choose whether or not to contact them.

2. PROCESSED DATA

These are the situations in which personal data are automatically collected and processed:

  • You consult one or more pages. Data collected and processed: IP address.
  • You contact us via an electronic form or e-mail. Data collected and processed: name, first name, e-mail address, language preference, company/organization you enter.
  • Exchange of emails via the contact form and via messaging. Data collected and processed: metadata that may or may not be connected to your e-mail.
  • You complete an online survey or you enter data in an online tool. Data collected and processed: name, first name, email address, language preference, company/organization, phone numbers, data that fills in such as your expertise, services you offer or actions you describe.

These are the situations in which personal data are automatically collected and processed: The other personal data that may be processed is listed in the data processing register. Data that is not of a personal nature is automatically collected without linking it to your IP address and therefore with respect for your privacy. It is used to generate statistics and to improve the content of the portal site:

  • Language selection
  • Search engine used
  • Keywords used
  • The website from which you came
  • The pages you viewed; The duration of each page view
  • The list of files downloaded
  • The date and time of access
  • The browser used
  • The platform and/or operating system installed on your computer

3. USE OF COOKIES

Navigating the site https://biodiversityalliance.be may trigger the installation of cookies on your computer. A cookie is a small file that records information related to the navigation of a computer on a website. The data thus collected are intended to facilitate subsequent navigation on the website and are also intended to enable various navigation measurements. Specifically, three types of cookies may be used:

  • Cookies-agreed that record the user's response when asked if he accepts the site's cookies.
  • Cookies Google Analytics (_ga, _gat, _gid): these make it possible to track the use of the website anonymously (the data collected include the IP address, date and time of access to the service, any pages consulted during a certain time, other technical data such as the navigator, the operating system installed on your computer, the search engine and the keywords used to find the website of the service, ...). This data will be processed only to know the number of users of the different sections of the pages and to improve the content of the pages. Google must comply with the AVG.   • Cookies from other third parties : to improve your user experience of our website, we integrate services from partners specializing in social media, advertising and analytics, such as social media buttons from Facebook, Twitter, LinkedIn, Youtube and Instagram, the Facebook Pixel service or others (click on the links to consult their privacy policies). The third parties may use cookies to store certain data or help us analyze, for example, what visitors click on. These third parties must comply with the AVG.

The refusal to install a cookie may prevent access to certain pages. However, the user can configure his computer to refuse the installation of cookies as follows:

  • Under Internet Explorer : settings tab (icon in the form of a cogwheel at the top right) / Internet Options. Click on Privacy, then Advanced and choose Block all cookies. Validate with OK.
  • Under Firefox : At the top right of the browser, click on the menu icon (three horizontal bars) and select Options. Click on Privacy. Choose to block cookies.
  • Under Safari : At the top right of the browser, click on the menu icon (cogwheel). Select Parameters. Click on "Display Advanced Parameters." Under "Privacy," click Content Parameters. Under "Cookies" you can block cookies.
  • Under Chrome : At the top right of the browser, click the menu icon (three horizontal bars or vertical dots). Select Settings. Click on "Advanced ". Click on Content and then Cookies. Here you can block cookies.

SAVE DURATION

The storage duration:

  • of your IP address is maximum 2 years (for more information, please consult Google's privacy policy at https://support.google.com/analytics/answer/6004245) ;
  • of the cookies-agreed is 100 days.
  • of the Google analytics cookies is maximum 2 years.
  • of the cookies from other third parties is maximum 2 years.
  • of the exchanges by e-mail is 2 years.

In exceptional cases, such as legal proceedings, your personal data may be kept longer.

4. THE STORAGE DURATION

The storage duration:

  • of your IP address is 12 months
  • of the cookies, depending of the cookie type, can be up to 2 years
  • of the exchanges through the contact form and through e-mail is 5 years
  • of the exchanges through the contact form and through e-mail is 5 years

In exceptional cases, such as legal proceedings, your personal data may be kept longer.

5. SECURITY

The federal public service Health, Food Chain Safety and Environment guarantees the security (integrity and confidentiality) of your personal data. It is protected against unauthorised access, unauthorised use, loss and unauthorised changes.

To this end, we use security methods and procedures that we will not describe in detail here for security reasons.

Please note: Appropriate physical, technical and organisational measures are taken to guarantee a level of security that is appropriate with regard to the risks.

6. RIGHT OF INSPECTION, MODIFICATION, OBJECTION AND DELETION

You have certain rights relating to the personal data that we use: the right of inspection, the right of modification, the right to object and the right to have data deleted.

Your application will be processed within 30 calendar days. If your application is complex or if our department has to deal with a large number of applications, that period may be extended by 60 days.

Please send an e-mail or letter to our Data Protection Officer together with a scanned copy or paper copy of your identity document containing your signature to the following address in order to exercise your rights: dpo@health.fgov.be.

7. COMPLAINTS

If you consider that the federal public service Health, Food Chain Safety and Environment has not processed your personal data in accordance with the applicable regulations, you are entitled to lodge a complaint with the Data Protection Authority:
